Information for oral presenters

In-person oral presentations
Your presentation slides must be:
- In PDF or .pptx format
- Maximum 25 MB file size.
These should be uploaded via Oxford Abstracts by 20:00 JST the evening before your presentation. We will ensure they are then uploaded and available in the workshop Google Drive for the venue support team to access for your presentation slot.
Once at the venue, you can check your slide formatting, or make last minute revisions in the Speaker Ready Room. This will be open from 08:00 each day of the workshop. If you need to make a last minute presentation replacement in the Speaker Ready Room, please bring your updated presentation on a USB drive.
- Check the length of your oral presentation in the workshop programme. The presentation length includes the time for change over and discussion. The allocated presentation time cannot be exceeded.
- All sessions are run in a fully hybrid mode, using the venue room settings for on-site attendees combined with Webex for virtual participants. This setup allows both on-site and virtual attendees to follow and present in the session equally.
- On-site presenters must give a live presentation.
- The presentation file must be uploaded by 20:00 JST the night before your presentation at the very latest.
- In order to streamline and improve the efficiency of the sessions, all presentations are run inside the lecture room. On-site presenters will forward their slides themselves. Each presentation is shared in parallel in the room and in Webex, so that it can be watched by on-site and virtual attendees equally.
- Any participation in a session, whether virtually or on-site, as presenter or attendee, requires a paid registration for the workshop.
- All attendees must adhere to WCRP’s Code of Conduct
If you do not want people to take pictures of your slides during the workshop, please indicate this clearly on your opening slide and on any subsequent slides where pictures are not permitted.
Virtual oral presentations
If you are giving your oral presentation virtually, you must provide two files:
- Your presentation file in PDF or .pptx format
- A video of your presentation.
Both files should be uploaded through Oxford Abstracts. If you do not have the option to upload a video, please contact the CMIP IPO.
Video requirements
You must upload a video of your presentation, in case of unstable internet connection, substantial time-zone differences, or other barriers. Your video must be uploaded by 6th March 2026.

- It is recommended that virtual presenters also present live, to benefit from audience feedback and questions. However, we request that a pre-recorded talk is be submitted, so that if the presenting author is unable to present live due to substantial time-zone differences, unstable internet connection, or other barriers.
- The presentation file and video file must be uploaded by 6th March 2026 at the very latest.

- For virtual attendance, we strongly recommend downloading and using the Webex client rather than accessing Webex through the browser.
- We recommend that you find a quiet space for participating in the live session, preferably in a well-lit area and with a plain and neutral-coloured backdrop. Lighting should illuminate your face (i.e., no window or light source behind you). Please use some form of external microphone or headset during your presentation, as internal computer microphones are often not able to provide sufficient quality sound.
- All attendees must adhere to WCRP’s Code of Conduct
